Bring your Autotask Users into BrainStation

This is an import, not a sync, so when Users are added or deleted in Autotask, it will not automatically be reflected in BrainStation.

 

You can easily import Users from Autotask into BrainStation with our Autotask PSA Integration.

 

You will need the following information from Autotask in order to connect to your Reseller Portal:

  • API Username
  • API Secret

 

To create these, follow these steps.

  • Log into your Autotask tenant with an admin account. 
  • Inside Autotask, go to Admin, then Resources/Users.

 

 

  • Click New, and then New API User.

 

 

  • In the General section, give the API User a descriptive name and email. 
    • The email address can be fake.
  • Fill out all required information.
    • You can also add security level and location.

 

 

  • In the API Tracking Identifier section, choose Integration Vendor.
  • Search for Bigger Brains.
  • Choose Bigger Brains.

 

 

  • In the Line of Business section, associating this API User with any specific Lines of Business is not usually necessary.

 

 

  • In the Credentials section, click the two Generate buttons.
    • These will create a Username (Key) and a Password (Secret) for this API User.
  • Copy the Key and Secret into a safe document.
    • You will need to add these values in the Reseller Portal.
  • Choose Save & Close to save the API User.

 

 

  • From your Reseller Portal, locate the Team to which you would like to add Users. 
  • Click the Action icon next to the preferred Team.
  • Select PSA Import.

 

 

  • In the Autotask section, enter the following information in its respective field.
    • API Username
    • API Secret

 

 

  • Select the Load Groups button.
  • If the credentials are entered correctly, this will display a list of Users in your Autotask account.

 

 

  • In the Select Group field, find the User list you want to import to this Team.
    • The Team name is listed in the breadcrumbs for consistency.

 

 

  • All Users in this list will be displayed.
    • If a User email is associated with an account already in BrainStation, a red X will appear in their row.
    • If a User does not have an email associated with their name, a red X will also appear in their row.
  • Select the Users you would like to add to the Team.
  • Click Import to bring these Users into BrainStation.

 

 

Your Autotask credentials are stored with your Reseller account, so you will not need to re-enter them every time you import Users.

 

Anytime you add or edit a Team, you can click the PSA Import option to access your Autotask information without re-entering your credentials. These credentials are only available through your Reseller account. If your clients add their own Users, they cannot access the stored Autotask credentials.
