Creating and Editing a Compliance Policy
Master the essentials of developing a compliance policy to ensure regulatory adherence and organizational integrity.

The ability to create and assign compliance policies in BrainStation allows organizations to track and report compliance-related activities like annual training requirements.
Please Note:
Only Users with Team Leader, Team Assistant, or Reseller Access can create and assign compliance policies within a Team.
- Before creating a policy, confirm Enable Compliance is enabled.
- Enter the Team Dashboard.
- Select Settings.
- Confirm the Enable Compliance box is checked.

Creating a Policy:
- Access the Team Dashboard.
- Click the Compliance tab.
- Select Create New Policy.

- Enter the Policy Details. The following fields are required:
- Policy Name
- Policy Type
- Policy Description
- Validity Period
- Repeat After
- Grace Period
Please Note:

Policy Type:
- This field determines if the policy is a One Time Action or an Ongoing Requirement. One Time Actions do not renew.

Validity Period:
- This field notes how long the User is considered in compliance once the policy has been completed. (Default is one year)

Repeat After:
- For policies that are set to be Ongoing Requirements, this field determines how often the User must renew the compliance policy. (Default is one year)

Grace Period:
- This field determines how long a User will be considered in the Grace Period after a policy expires.

- Select Next when ready to move to the next screen.

- On the next page, upload any Policy Documents.
- When completed, select Next.
Please Note:
You do not need to upload a Policy Document in order to create a policy within BrainStation. A company could use this feature to ensure all employees have read and reviewed the employee handbook annually and acknowledge they will abide by all policies listed therein.

- On the next page, add any Courses or Learning Paths.

- When completed, select Next.
Please Note:
You do not need to add a Course or Learning Path in order to create a policy within BrainStation. A company could use this feature to ensure all employees complete Workplace Harassment training annually, and acknowledge they have completed the training.

- On the next page, add any necessary tasks to the Task List.

- When completed, select Next.
Please Note:
You do not need to add items to the Task List in order to create a policy within BrainStation. A company could use this feature to ensure certain employees complete various tasks every 90 days, so they create them as Acceptance Checklist tasks in an ongoing compliance policy.

- On the next page, you can edit the Digital Signature Text displayed.
- When completed, select Next.

- On the Review and Publish page, you can look over all the information added to the policy.
- When finished, click Publish to create a new policy.
Please Note:
If needed, use the Previous button or click directly on a section to go back to edit any of the Policy content.

- The completed Policy now appears in the list under the Compliance tab.

Editing a Policy:
When an employee handbook is improved, or a cybersecurity course is updated, you may want those amendments reflected in the Compliance Policy.
- Click the Compliance tab from the Team Dashboard.
- Find the policy you want to modify, and select Edit.

- From here, you can edit Policy Details, Policy Document(s), Courses, Learning Paths, Task List, and the Digital Signature.
Please Note:
Editing the policy by adding or removing materials will update the entire compliance policy. Because of this, editing the policy will result in all assigned Users needing to resubmit the policy in order to remain In compliance.

- On the Review and Republish page, when you are ready to release the edited policy, select Update.
