How to create, edit, and assign Users to a Subteam

Grouping Users makes it easier to assign Courses and Learning Paths to multiple people at once. In BrainStation, you can create a Subteam to assign Courses and run reports for that group. This grouping feature is often used for departments, locations, or permission-based groups inside an organization.

 

Please Note:

Both Team Leaders and Team Assistants can access the Team Dashboard within BrainStation, but only a Team Leader can create, edit, and assign Users to a Subteam.

 

 

Creating a Subteam:

 

  • Go to the Team Dashboard.

 

 

  • Click Manage Teams from the dashboard menu.
  • Select Manage Subteams from the drop-down list.

 

 

  • On the Subteam page, click + Create New Subteam.

 

 

  • Enter a name for your Subteam.

 

 

  • Select Add Learners to choose the Users you want in this Subteam.

 

 

  • This will open up a box with all of the Users associated to the Team listed.
  • Select the Users that you want in this Subteam.
  • Once all the Users have been selected, click Submit.

 

 

  • From here you will see all the details of your Subteam.
  • You can add and remove Users before finalizing your Subteam.
  • If everything looks good, select Submit.

 

 

  • You will see a pop-up box notifying you that the Subteam had been added successfully.
  • Your new Subteam will be added to the Subteam page.

 

 


 

Viewing a Subteam:

 

  • Click View next to the Subteam you would like to view.

 

 

  • Here, you can see which Users have been added and whether any Courses or Learning Paths are assigned to the Subteam.

 

 


 

Editing a Subteam:

 

  • Click Edit next to the Subteam you would like to edit.

 

 

  • Selecting Edit will bring you into the Subteam.
  • From here, you can edit the name, add learners, and/or remove Users from the Subteam.
  • When you are finished editing the Subteam, select Submit to save the changes.

 

 


 

Assigning Courses to a Subteam:

 

  • Choose Assign Courses for the Subteam you want to assign Courses to.

 

 

  • From here, you can select all the Courses you would like to assign to the Subteam.
  • You can use the Due Date section in the top left corner to select a due date for the Course(s).

 

 

  • After you have selected the Course(s) you would like to assign to this Subteam, select + Assign Course(s).

 

 

  • You will be redirected to the Subteam page when you assign the Course(s).
  • The assigned Courses will be shown when you view the Subteam.

 

 


 

Assigning Learning Paths to a Subteam:

 

  • Choose Assign Learning Path for the Subteam you want to assign a Learning Path(s) to.

 

 

  • From here, you can select the Learning Path(s) you would like to assign to the Subteam.
  • You can use the Due Date section in the top left corner to select a due date for the Learning Path(s).

 

 

  • After you have selected the Learning Path(s) you would like to assign to this Subteam, select + Assign Learning Path(s).

 

 

  • You will be redirected to the Subteam page when you assign the Learning Path(s).
  • The assigned Learning Path(s) will be shown when you view the Subteam.

 

 


 

Deleting a Subteam:

 

  • Choose Delete for the Subteam you want to delete.

 

Please Note:

You will not receive a confirmation message verifying if you actually want to delete a Subteam. If you select Delete, the Subteam will be deleted immediately.

 

 

 


 

Reporting on a Subteam:

 

  • Go to the Team Dashboard.
  • Click Reports from the dashboard menu.
  • Select Complete Report from the drop-down list.

 

 

 

  • On the Complete Report page, choose the Subteam you want to generate a report for.
  • You can customize this report by editing the following fields:
    • Start Date
    • End Date
    • Status

 

 

  • When you are ready to generate the report, select Get Report.

 

 

  • The Complete Report shows all Users in the Subteam and the Courses and Learning Paths they are currently progressing through.

 

 

  • You can download the Complete Report as a CSV or PDF from this page.
  • To generate another report, select Reset to clear the current settings.
