Autotask PSA Integration

Easily bring your Autotask users into BrainStation

You can easily import end-users from Autotask into Bigger Brains / BrainStation with our Autotask Integration

You will need the following information from Autotask in order to connect to your Reseller portal with Bigger Brains:

  • API Username
  • API Secret

To create these, log into your Autotask tenant with an admin account. Inside Autotask, go to ‘Admin’, then ‘Resources/Users’.

Click ‘New’, and then ‘New API User’.

In the ‘General’ section, give the API user a descriptive name and email. The email address can be fake. Fill out all required information, any security level and location is OK.

In the API Tracking Identifier section, choose ‘Integration Vendor’ and search for Bigger Brains.

Choose ‘Bigger Brains’.

In the Line of Business section it is not usually necessary to associate this API user with any specific Lines of Business.

In the Credentials section, click the two ‘Generate’ buttons to create a Username/Key and a Password/Secret for this API User.

These are the values you will enter in the Bigger Brains portal, so copy them to a safe document and then choose ‘Save & Close’ to save the user.

 

From your Bigger Brains Reseller portal, browse to the Team where you would like to add users.  Clck the three dot menu for that team, and choose PSA Import:

All PSA options are shown, including Autotask.  In the Autotask fields, enter the API Username and API Secret previously noted. 

Select the “Load Groups” button.

If the credentials are entered correctly this will display a list of users in your Autotask account:

Use the “Select Group” option at the top to filter the user list to the specific client you wish to import to this Team. (Note the Team name is listed in the breadcrumbs for confirmation): 

All users for this Group / Client will be displayed. If the user has an email address and is not already added in BrainStation, you'll see a checkbox by each name.  If a user is already added or does not have an email, you'll see a red X instead. 

Select the members you would like to add, then choose Import to bring those users into BrainStation. 

Note: This is an import, not a sync, so when users are added or deleted in Autotask it will not be automatically reflected here.

Your Autotask credentials are stored with your Reseller account, so you will not need to enter them every time. Anytime you add or edit a Team you can click the “PSA Import” option to access your Autotask information without needing to re-enter your credentials. However, these credentials are only available through your reseller account – if your clients are adding their own users they will not have access to the stored Autotask credentials.
