What Granular Permissions are Available?
Reseller Access, Team Leaders, & Team Assistants. Which should you grant clients?

Before You Get Started:
There are four primary permission levels for members inside BrainStation. In this article, we’ll explain the granular permissions of each level and outline the features they can access.
User:
A User without any special access is the lowest permission tier within BrainStation and the UMS. Users will never access the Reseller Portal or Team Management Portal unless they are granted Reseller Access or Team Leader access.
A User represents the employees who have been assigned training within BrainStation. Inside BrainStation they are able to see their own progress report but are unable to view the progress of others within their Team.
Team Assistant:
When a User has Team Assistant access they are not able to access the Team Management Portal or the Reseller Portal. This is helpful when you have set a Course Visibility for a Team and do not want anyone in the Team to change it.
A User with Team Assistant access can do the following.
- Assign Courses & Learning Paths inside BrainStation.
- Create Custom Courses & Learning Paths in BrainStation.
- Run Course and User Reports inside BrainStation.
Team Leader:
When a User is a Team Leader they are not able to access the Reseller Portal, but they do have access to everything within the Team Management Portal. It is important to keep in mind that Course Visibility for a Team can be changed within the Team Management Portal. If you have customized Course Visibility for a Team and do not want it changed, you should not at a Team Leader to that Team.
A User with Team Leader access can do the following.
- Access all Reporting and Assigning features within BrainStation.
- Access the Azure Entra Sync Import Option.
- Add their Company Logo within the Team Management Portal.
- Build Custom Courses and Learning Paths in BrainStation.
- Create, Edit, or Delete Users on a Team.
- Customize Course Visibility in the Team Management Portal.
- Manually Reset Passwords for their Team.
- Resend Welcome Emails within their Team.
- Team Assistant responsibilities.
Reseller Access:
When a User has Reseller Access turned on, they have the highest level of clearance within BrainStation and the User Management System. For this reason, we strongly suggest that Reseller Access only be given to employees within your company that will need to manage the UMS.
A User with Reseller Access can do the following.
- Access the Reseller Portal from BrainStation.
- Access Reseller marketing materials.
- Build Reseller Libraries and share them across Teams.
- Change Subscription preferences in the Reseller Portal.
- Create new Teams in the Reseller Portal.
- Create new Users inside Teams.
- Customize Course Visibility across all Teams.
- Sync/Import Users into Teams.
